Workspace Management

What is a workspace?

A workspace may represent your company or organization and combines all time tracking data in one place. All clients, projects, tasks, time entries are assigned to a specific workspace. Moreover, a workspace can represent your personal workspace if you work alone.

With one TMetric account, you can create multiple workspaces. Users can be added to one or several workspaces and have different roles in them, hence user access rights.

Your subscription is assigned to a workspace, so you can view the current subscription plan and manage the existing subscriptions in the Workspace tab.

Workspace Settings

You can easily customize workspace settings for your needs. Only a workspace owner and admin can configure the required settings for each particular workspace. To configure settings for a workspace, just do the following:

  • Navigate to Workspace, then click Settings.
  • On the right-side menu, select the settings you need.

Managing Clients

When you work with multiple clients, you need to somehow categorize your work time spent on each client. TMetric allows you to add clients to your account and assign projects to them. You can then generate client-based reports to be able to bill your clients based on the billing information.

Collaborating with your Clients

You can invite a client representative to join a TMetric workspace and follow the progress of the client's projects. They will be able to view Detailed Report, Projects Summary, and Tasks Summary reports only for the projects belonging to the client they represent. The client representative does not see the Team Summary report and project rates in the reports.

Managing Tags and Work Types

Tags and work types can help you filter projects when creating reports, thus saving your time on the search.

Tags allow you to label time entries for easy categorization of your work time. In turn, work types can simplify client invoicing and billing process, since the time will be billed based on the rates of the work types defined in the Work Types section of the project.

Working with Multiple Workspaces

In TMetric, you may have several workspaces, for example, a private workspace for tracking your personal projects and an office workspace shared among your colleagues. Only one of your workspaces can be active at a time, and you are able to track time only in the active workspace.

How to Change the Workspace Owner

There can be only one owner of a workspace. You can change a workspace owner by granting the Owner role to another user. The selected user becomes the workspace owner, and the former owner gets the Admin status.

To change a workspace owner:

  1. Navigate to Workspace and click Members in the drop-down menu.
  2. In the Members list, click the member's name you need.
  3. On the Edit Member page, select Owner in the Role drop-down list.
  4. Click Save.

How to Delete a Workspace

Only a user assigned the Owner role can remove a workspace and all its data from TMetric. And, there are two ways of deleting a workspace in TMetric.

The first one is:

  1. Navigate to Workspace and click Settings.
  2. On the Workspace Settings screen, click the Actions drop-down menu, and select Delete Workspace.
  3. Specify a reason for deleting a workspace.
  4. Type the workspace name in the corresponding field and click the Delete button.

Or you can do the following:

  1. Click your name in the bottom left corner, then click Manage Workspaces.
  2. On the Manage Workspaces screen, click the More options icon on the workspace you want to delete.
  3. Click Delete and go through Steps 3 and 4 described above.

Note: A workspace is also deleted, when an owner of the workspace deletes their account.
